The chaos.
Gulf Ark International was struggling with:
- 01The entire order book arrived on WhatsApp between evening and the small hours. Nothing existed as a record until a human typed it.
- 02Orders came in Malayalam, Hindi, Urdu, Arabic and English, as typed lists, voice notes and photographs of handwritten pads.
- 03Every shop used its own private shorthand built over years of trading. Decoding it lived in one person's head.
- 04One person read every message, sorted each order to the right route, and totalled the night by hand before dawn. In their own words, totally exhausting.
- 05A missed or deleted message meant a van arrived at a shop without its goods, and nobody could prove what had been ordered.
- 06Prices move daily in fresh poultry. Every quote depended on someone remembering today's rate correctly at two in the morning.
- 07The buying side was never recorded as it happened, so the business could not cleanly read its own position on thin margins.
- 08Billing happened at the shop door with a calculator and a pad, then had to be re entered later, twice, with the errors that implies.
The implementation.
OSForBiz built the operating system for a distribution business that trades at night and delivers at dawn. Orders arriving on the company WhatsApp number are read, understood and recorded automatically in all five languages, from text, voice notes and photographs, with each customer recognised by number and each shop's private shorthand already known. Behind it sits one book of record holding the catalogue in the trade's own grammar, every customer with their route and level, stock, dues, expenses and VAT compliant invoices on the company letterhead. The delivery team bills at the door from a phone with prices calculating themselves and receipts printing on the van printer, and the owners read the whole day live on a single screen instead of asking for numbers.
The numbers.
Nightly order processing
One person awake through the night decoding messages by hand → Orders record themselves as they arrive
The night stopped depending on one man staying awake
Billing at the shop door
Calculator, pad, then re entry later → Billed and receipted on a phone in seconds
Double entry eliminated at the point of sale
Closing the day for suppliers
Totalled by hand before dawn → Totals itself
The pre dawn hand count is gone
Orders lost to missed or deleted messages
A real and recurring risk with no proof trail → Every order exists as a record from the moment it lands
Shorthand decoded correctly
Held in one person's memory → Held against each customer record
Buy side visibility
Not recorded as it happened → Supplier messages captured to draft purchase records
VAT invoicing
Assembled after the fact → Compliant invoices raised at the point of sale
Investment
Two fixed scope agreements with advance and delivery milestones
Annual Value
A night shift returned to the business and a sales channel that can no longer lose an order

The full comparison.
| Metric | Before | After |
|---|---|---|
| Where an order lives when it arrives | In a WhatsApp thread until someone types it | In the system, immediately, with the customer attached |
| Who understands each shop's shorthand | One person | The system, from two years of their own history |
| Languages handled | Whatever that one person could read at 2am | Malayalam, Hindi, Urdu, Arabic and English, from text, voice and photos |
| Billing at the door | Calculator and pad, re entered later | Phone, self calculating, receipt printed, recorded once |
| Collections | Tracked informally and reconciled from memory | Due bills, part payments and cheques settled at the point of contact |
| What the owners can see | They asked people for numbers | They read the trading day live on one screen |
| VAT | Assembled after the fact | Raised compliant at the point of sale, filing ready |
